Privacy Policy

Last updated 8 October 2026

This policy explains how The Moore Group Pty Ltd (ABN 73 676 146 875), trading as Sophron Solutions ("Sophron", "we", "us"), collects, uses, shares and protects personal information. It applies to sophronsolutions.com, go.sophronsolutions.com, our application forms, our booking pages, and the emails and messages we send.

We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). If you are in the European Union, the United Kingdom or California, the section "Your rights" also covers the rights you have under your local law.

1. What we collect

Information you give us

  • When you apply for a call: your name, email address, phone number and company, and your answers about your business, such as your monthly ad spend, revenue range, sales funnel and main growth constraint.
  • When you book or change a call: the time you choose, your time zone and any notes you add.
  • When you join our email list or download a resource: your name and email address.
  • When you become a client: billing and contact details, and the business information needed to deliver our services.
  • On calls with us: we may record and transcribe calls to prepare your audit and keep accurate notes. We will tell you at the start of a call if it is being recorded.
  • When you contact us: whatever you include in your message.

Information collected automatically

  • Campaign details from the link you arrived on: such as utm_source, utm_medium, utm_campaign, utm_content and utm_term, and advertising click identifiers (fbclid from Meta, gclid from Google). We store these with your application so we know which ad or link brought you to us.
  • Cookies and similar technologies: see section 5.
  • Video viewing data: our videos are hosted by Wistia, which records how much of a video is watched.
  • Device and usage data: such as IP address, browser type, pages visited and time on page.

We do not ask for sensitive information (such as health, racial or political information) and ask that you do not send it to us.

2. How we use it

  • To review your application and decide whether we are a good fit to work together.
  • To schedule, confirm and remind you about calls, by email and, where you have given your number, by SMS or phone.
  • To deliver, invoice and improve our services.
  • To send you marketing emails, where you have agreed or where the law allows. Every marketing email has an unsubscribe link.
  • To measure which ads and pages bring in applications, and to improve our advertising, including by sending conversion events to advertising platforms (see section 4).
  • To meet our legal obligations and protect our rights.

3. Who we share it with

4. Advertising and measurement

We use the Meta Pixel on our pages and Meta's Conversions API. When you visit a page, apply or book a call, these tools tell Meta that the event happened. Where you have applied, the details sent can include your email address and phone number in a hashed (scrambled) form, and the click identifier from the ad you clicked, so that Meta can match the event to an ad. Meta uses this to report on and improve the delivery of our ads. You can manage how Meta uses this information in your Facebook or Instagram ad settings.

5. Cookies

Our pages use cookies and similar technologies from Meta (advertising measurement), Wistia (video playback and viewing statistics) and our page and booking platforms (to make the pages work). You can block or delete cookies in your browser settings. Some features, such as video playback or booking, may not work without them.

6. Where your information is stored

Most of our service providers store data outside Australia, mainly in the United States, and some in the European Union. We use providers that apply recognised security standards, and we take reasonable steps to make sure they handle your information in line with the Australian Privacy Principles.

7. How long we keep it

We keep application and booking records for as long as we need them for the purposes above, generally up to 3 years after our last contact with you, and longer where the law requires (for example, tax records for clients, which we keep for 5 years). After that we delete or de-identify them.

8. Security

We protect personal information with access controls, accounts limited to the team members who need them, and providers that encrypt data in transit and at rest. No system is perfectly secure; if a breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner as the law requires.

9. Your rights

  • Access and correction: you can ask for a copy of the personal information we hold about you and ask us to correct it.
  • Deletion: you can ask us to delete it, unless we need to keep it by law.
  • Marketing: you can unsubscribe from emails at any time with the link in each email, or reply STOP to a text message.
  • EU, UK and California residents: you also have the right to object to or restrict processing, to data portability, and to complain to your local data protection authority. Where we rely on consent, you can withdraw it at any time.

To make a request, email [email protected]. We will respond within 30 days.

10. Complaints

If you have a concern about how we have handled your information, email us first and we will respond within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
